WHS management systems

Customised WHS management systems, built and digitalised

A WHS management system your team will actually use. Built around your operations, aligned with ISO 45001, and digitalised so hazards, inspections and actions can be managed from a phone or tablet.

No off-the-shelf manuals

A generic safety manual downloaded from the internet won’t reflect your risks, your people or your way of working. It’s also unlikely to stand up when it’s tested by a regulator, an auditor or a court. A good WHS management system is specific. It identifies your real hazards, sets out the controls you actually use and makes clear who is responsible for what.

We develop systems from the ground up, or rebuild existing ones that have grown messy over time. Every system is aligned with the WHS Act and Regulations, the relevant Codes of Practice and the structure of ISO 45001, so it can grow with you towards certification if you need it.

A typical system includes

  • WHS policy, responsibilities and accountabilities
  • Hazard identification and risk management
  • Consultation, communication and issue resolution
  • Contractor management
  • Incident reporting and investigation
  • Training, induction and competency records
  • Inspections, audits and management review

What’s included

Built for your business, then made digital

System design

We map your activities, sites and risks, then design a system that’s as simple as it can be while still meeting your legal obligations.

Procedures and forms

Clear, plain-English procedures, checklists and forms that workers can follow without needing a safety qualification to understand them.

Digital WHS platform

Hazard reports, inspections, incident forms and action tracking moved off paper and onto phones and tablets.

Dashboards and reporting

Dashboards that give managers and officers a live view of open actions, incidents and inspection results.

Document control

One current version of every document, with review dates and change history, so nobody works from an old form.

Rollout and training

We help you launch the system, train your people and fine-tune it based on how it works in practice.

Why digitalise your WHS system?

Paper-based systems tend to fail quietly. Forms get lost, actions never get closed and nobody sees the overall picture until something goes wrong. A digital system changes that:

  • Workers can report hazards and incidents on the spot, with photos
  • Inspections are completed on a mobile checklist, and actions are assigned and tracked to close-out
  • Managers can see overdue actions and trends without chasing paperwork
  • Officers have evidence of due diligence at their fingertips
  • Records are searchable and backed up, which matters if an incident is ever investigated

We can build your system on tools you already use, or recommend fit-for-purpose WHS software, depending on your size and budget.

FAQs

Common questions

We already have a safety manual. Do we need a new system?

Not necessarily. We’ll review what you have and tell you honestly whether it can be improved or needs rebuilding. Often the fastest path is to keep what works and replace what doesn’t.

Will the system meet ISO 45001?

We structure systems so they align with ISO 45001. If certification is a goal, we can take the system the rest of the way with a gap analysis and certification support.

Do we need special software?

No. Many small businesses run an effective digital system using tools they already pay for. For larger or higher-risk operations, dedicated WHS software can be worth the investment. We’ll recommend the option that fits.

How long does it take to build a system?

A focused system for a small business can often be developed in a matter of weeks. Larger and multi-site businesses take longer. We’ll agree a timeline with you before we start.
